How to organize a gear rental invoice

See a worked camera gear rental invoice with quantities, billable rental days, daily rates, and a handoff checklist.

Make the booking details clear first.

A gear rental invoice should let the client trace every charge back to the booking: the item or package, quantity, billable rental days, agreed rate, and line total. Start with the confirmed gear list and rental terms rather than rebuilding the package from memory.

Confirm who pays the invoice and which business name or purchase order they use. Keep pickup and return dates alongside the booking, and make any difference between possession days and charged days explicit.

The invoice records the charges. Keep the separate rental agreement and handoff record available for the agreed responsibilities, condition, and return arrangements.

Payment instructions
Pay using the bank details agreed with the client. Include JL-2026-015 as the payment reference.

Each line is quantity × daily rate × billable days. For the lights, that is 2 × $25 × 2 = $100. Add the three line totals: $300 + $100 + $100 = $500.

If you agreed one package price, show that price clearly and identify what the package includes. Avoid listing both the package fee and its included equipment as additional charges.

Distinguish rental dates from billable days.

A pickup evening, preparation day, weekend, or return morning may be handled differently in different bookings. State the dates and the charging basis you actually agreed. Do not assume that every calendar day in your possession is a billed day.

If an item has a different rental window, spell out its own billable days and amount. Explain a package discount or additional delivery charge separately so the client can follow the final total.

Keep ownership and billing responsibility visible.

A package can contain your equipment, a collaborator's kit, and items from a rental house. Confirm which charges you are collecting and which party bills the client separately. A cost you owe another owner and revenue you collect from the client are different records, even when they relate to the same item.

Keep a useful handoff and return record.

The invoice is easier to reconcile when the project also holds the confirmed gear list, who supplied each item, pickup and return details, and any agreed changes. Record serial numbers or asset identifiers in the handoff record when you need to distinguish individual units.

Check accessories as well as the main items: batteries, chargers, cables, cases, stands, and media can be part of the package. Record what changed during the rental and agree any additional charges before updating the billing record.

After the return, retain the final invoice and payment record with the project. If you revise an invoice, make the revision clear to the payer so two copies are not mistaken for separate charges.
